Key Highlights

Metrics Report
The new metrics report provides powerful insight into activity across groups of applications and assists teams to understand trends, workload, operational efficiency and provide up-to-date reports to senior staff.  It provides aggregated counts of key actions over a selected time period, including the volume of applications submitted, approved and declined, tracks the number of emails, comments, and documents exchanged within those applications, and measures how often specific workflow steps are answered Yes or reviewed by specific departments.

Knowledge Base
The new knowledge base accessible within the system provides comprehensive guidance for all user roles, including permit managers, reviewers and applicants.  It covers everything from administrative setup and workflow management to day-to-day review tasks and step-by-step applicant instructions. In addition to written help articles, the knowledge base includes videos that explain key concepts and demonstrate platform features, a glossary that defines important terms to help users understand system language and processes more easily, and a dedicated FAQ section that addresses common questions and provides quick solutions for users.

Billing System Improvements
Our latest billing tool enhancements introduce greater accuracy, control, and usability across key financial workflows. Permit managers can now apply refunds directly to specific fee items for more precise adjustments, and improved void invoice functionality ensures clearer auditing by locking voided invoices and displaying informative messages. The edit invoice tool now includes a searchable item selector, while voiding payments has been strengthened to allow voids only on ecommerce transactions. The manual payment tool now captures service fee and transaction ID details, and sales report exports have been expanded with new fields to provide deeper insight into transaction activity.

Transactions API
The Transactions API provides secure, real-time access to payment activity across all online and offline channels, including payments, refunds, and voids. By enabling clients to retrieve all transaction records within a specified date range, the API provides an automated way to integrate payment data into a client’s internal systems and daily operational processes. Each transaction record includes all data provided in the payment report, including full payment details such as billing information, item fees, application identifiers, and timestamps.

Security Improvements
We’ve strengthened our platform with new security features and enhanced the underlying security infrastructure as part of our ongoing SOC 2 compliance initiative, which is now in its final stages. These improvements are an ongoing commitment to protect our client’s data and ensure a secure, reliable experience across the platform.

Improvements

  • Modified wording permit administrator to permit manager throughout the platform.
  • Rebuilt applications page to improve load performance.
  • Redefined permissions for permit managers in roles admin tool.
  • Added lock icon to the primary permit manager role assigned to an application type in the roles admin tool.
  • Improved invoice statuses in billing tool to display color-coded Refunded and Partial Refund if the invoice has at least one refund applied to it. Also added color-coding to Void invoices.
  • Improved void invoice functionality including locking void invoices and notices about void invoices.
  • Added edit icon to list of invoices in billing tool.
  • Refund button and manual payment button are now hidden if there are no refunds or manual payment options set up.
  • Improved void payment functionality so it can be performed only for ecommerce payments.
  • Added service fee and transactionId fields to manual payment tool.
  • Modified Applicant Name column heading to Payer Name in the payment report export.
  • Added various fields to the sales report exports.
  • Improved wording of conditionally approved buttons and text.
  • Added 2 custom fields to the calendar.
  • Changed the options for the # of records to display on the applications page, users admin tool, email report and list of invoices in the billing tool.
  • Improved duplication script so specific workflow steps are automatically marked as submitted in order to be included in the aggregate report and calendar.
  • Improved authentication for SSO clients.
  • Implemented individual key vaults per client.
  • Implemented filtering to content submitted in HTML editor to prevent potentially dangerous content.
  • Modified profile first name in top navigation to open profile menu when clicked.
  • Modified help icon in top navigation to Resources and populated with client-specific content.

Bug Fixes

  • My application section of the applicant dashboard did not display if the applicant logged in with a space in front of email.
  • Submitted date on administrator dashboard was off by one day if submitted after 4pm.
  • Primary administrator role could be removed from application types.
  • Application status change tool was incorrectly sending declined emails to reviewers when reviewer checkbox was not checked.
  • Comment box was not resizable.
  • Role auto-selected at login was not defaulting to the most recently selected role for SSO clients.
  • Application Menu button was not clickable for certain browser width.
  • Application types added to permit manager role were not added correctly .
  • Reviewer email checkbox was not displayed under certain scenario on the application status change page.
  • New application report failed to load saved reports if column names included certain special characters.
  • Names with apostrophes were incorrectly being adjusted to the title case.
