City of Seattle, Streamlining Special Events permitting: Introducing Eproval for faster, easier applications

This shift to a software-based application and permitting system modernizes and streamlines all aspects of the process. Using Eproval will save event organizers a lot of time and improve their experience by:
- Providing real-time, one-touch visibility into permit application status
- Improving communication with the Special Events Office and Committee through real-time updates and notifications
- Replacing email communication with quick and easy one-click access to information
This new system makes it easier for event organizers to upload the required documents and allows them to access their permit online. For event organizers who put on reoccurring events, Eproval allows applicants to duplicate previous applications to help save time in the data entry process.
Eproval is a market leader in special event permitting software and is used in over 100 municipalities across North America, including Bellevue, WA, San Diego, CA and Denver, CO. This system replaces the PDF application process that had been in place since 2012. The change also directly addresses recommendations made from the 2017 City Auditor’s Special Events Police Staffing and Cost Recovery Report and the 2024 Race and Social Justice Special Events Fee Analysis.
Established in 1990, the Seattle Special Events Committee approves an average of 400 permits per year for major events coordinated by the Special Events Office. The Special Events Committee consists of representatives from 15 City, King County and Washington State agencies who review all special event applications and coordinate with event organizers. The Special Events Office, a program in the Office of Economic Development, coordinates these major events and processes the intake and issuance of Special Event Permits.
